Position Objective:
The Administrative Assistant is expected to meet the qualifications as outlined below. This position is a vital part to the overall success of our organization as a manufacture of animal feed and nutrition products and services.

In this position, you will be responsible for multiple companies assisting in administrative support functions, providing support to executive management, assisting in daily office needs and managing the executive management in general administrative activities.

Reporting:
This position reports to the Executive Family Administrator
Primary Duties and Responsibilities:
- Assist the Executive Family Administrator in directing phone calls, organizing, and scheduling appointments, and communicating updates to executive leadership.
- Plan meetings and take detailed notes as necessary, creating summary of meeting details.
- Prepare, organize, and file company related regulatory documents that include non-disclosure agreements, confidentiality, and non-solicitation agreements, as necessary.
- Assist in all payables, general bookkeeping and filing of related documents for family associated businesses.
- Provide backup assistance for other Nelson Family of Company administrative roles, as assigned.
- Screen daily calls and route to the appropriate executive leadership role.
- Organize, gather, and prepare necessary information for meetings with key corporate partners, vendors, distributors, strategic partners, etc.
- Provide polite and professional communication via phone, email, and mail for executive leadership.
- Assist in the preparation of regularly scheduled reports, including the filing and organization of these documents.
- Maintain contact listings, book travel arrangements, submit and reconcile all delegated reports, as assigned.
- Collaborate with other internal departments providing support and gathering of information, providing advice and assistance, as necessary.
- Act as the point of contact for all internal and external clients and related family business units.
- Additional administrative projects required or directed by the Executive Family Administrator, as needed.
Preferred Qualifications:
- 2-to-4-year degree in related field of study
- 3-5 years of administrative support experience or related job experience
- General experience in accounts receivable, invoicing, and ACH
- General understanding of Quick Books
- Strong Customer Service background and experience
- Strong attention to detail with organizational skills
- Creative, with a passion for detailed accuracy
- Excellent verbal and written communication skills
- Technical and computer related skills with knowledge of Microsoft Office, proficient in PowerPoint, Outlook, Excel, specifically pivot tables.
- Proven decision making and problem-solving skills.
Minimum Requirements:
- High School graduate
- 3 to 5 years of proven administrative experience or related job experience.
- Strong attention to detail with strong organizational skills
- Excellent verbal and written communication skills
- Technical and computer related skills with knowledge of Microsoft Office, proficient in Excel
- Understanding of general accounting procedures
- Decision making and problem-solving skills.
- Self-motivated with a strong desire to succeed and works well in a team centered environment.
- Selected candidate to work and office out of Minnetonka, MN.
